How Our On-Location Headshot Booths Work

How our on-location headshot booths work, from booking to delivery, for matching team headshots at your office or a headshot pop-up at your event.
TL;DR: An on-location headshot booth is a full portrait studio we set up inside your office, conference or event. Your team or attendees step in one at a time, get directed by a photographer, and step back out to their day. Everyone gets the same light, the same backdrop and the same framing, so your company headshots finally match. Galleries are regularly delivered in 3 to 5 business days, with expedited options if you're on a deadline.
Getting a whole team to a photo studio is a logistics problem. Someone's traveling, someone's in back-to-back meetings, and the people who do make it end up shot on different days in different light. Six months later, your website's "Our Team" page looks like a collage.
A headshot booth flips that around. Instead of your team coming to the studio, the studio comes to them. Here's exactly how ours work, from the first email to the final gallery.
Why matching team headshots matter
When every person on your team shows up in the same clean, consistent headshot, your company reads as one organization instead of a stack of separate hires. That set does quiet work everywhere it appears: your website, the org chart, email signatures, sales decks and LinkedIn.
Mismatched photos send the opposite signal. One person is on a gray backdrop, another is cropped out of a wedding photo, and a third has a phone selfie from four jobs ago. Clients notice, even if they never say it.
Matching team headshots also make onboarding easier. New hires look like they belong from day one.
How our on-location headshot booths work, step by step
Every booth follows the same six steps, whether it's a small law firm or a multi-day conference.
1.You reach out. Tell us your headcount, location and date. We're usually able to respond to group inquiries in less than 2 hours, and every quote is custom to your team size.
2.We plan the look together. Do you want your office as the backdrop, or one of our portable backdrops? We can also shoot a few spots around your space if you want some controlled variety. Before the day, we send a styling guide, and anyone is welcome to send their outfit options ahead of time.
3.We schedule around your calendar. For company headshots, we build a sign-up schedule so nobody is pulled away from work for long. For event headshots, the headshot station runs during breaks and between sessions, so attendees step in when it suits them.
4.We set up the studio. We arrive early and build a full professional lighting setup in a corner of your office or venue. Then we light the first person and tune from there.
5.Each person gets real direction. We're filmmakers and actors, so we direct people the way we'd direct someone on set, not just "smile." We adjust lighting for every skin tone, coach posture and expression, and show images on screen as we go. We shoot tethered to an on-set display, so each person sees their portraits in real time and approves their preferred look before walking away, which prevents retakes. At events, each attendee gets about 60 to 90 seconds in front of the lens, so one station moves 30 to 50 people per hour, and up to 350+ attendees in a single 8-hour conference day.
6.Everyone gets their gallery. Galleries are regularly delivered in 3 to 5 business days, with expedited options available. For events, we can deliver galleries directly to each attendee, so your team never has to manage and send out everyone's photos. Each person picks their favorite, and our retouching cleans up stray hairs, blemishes and shine without reshaping anyone's face. If an edit goes too far, we'll dial it back.
Two ways to use a headshot booth: your office or your event
The setup is the same studio either way. What changes is who's in line and who receives the photos.
| Team headshots at your office | Event headshot stations | |
|---|---|---|
| Best for | Refreshing company headshots for the website, LinkedIn and directories | Conferences, trade shows, summits and brand activations |
| Who's photographed | Your employees, on a set schedule | Attendees, walk-up during breaks |
| Backdrop | Your office, or one of our backdrops | One of our backdrops, consistent across every attendee |
| Who gets the photos | Your company, as one matching set | Each attendee directly; they pick a favorite and can buy extra edits |
| Speed | Scheduled sign-up slots for your team | 30 to 50 attendees per hour per station (about 60 to 90 seconds each), up to 350+ in an 8-hour day |
| Scale | One department to an entire company | Single-day pop-ups to multi-day booths for 10,000+ person conferences |
A headshot pop-up at an event does double duty. Attendees leave with something they'll actually use, and they remember who gave it to them every time that photo goes up on LinkedIn. That's why sponsors love hosting them.
What it looks like in real life
Coca-Cola, Midtown Atlanta headquarters. We set up on-site for a busy production team so nobody had to leave the building. Each person got guided through posing and expression, and the team walked away with one consistent set for company profiles, LinkedIn and internal directories. Read the Coca-Cola case study.
Transamerica at the Omni, Downtown Atlanta. Our headshot booth ran for two days during Transamerica's event. Attendees stepped in between sessions, got quick coaching, and left with polished, consistent headshots. Read the Transamerica post.
Peer2Peer 2025, sponsored by Hustle. A sponsored headshot station is one of the easiest wins for an event organizer. Between sessions, attendees stepped up for a coached portrait, and the sponsor got credit for giving them something useful. See behind the scenes.
We've also run event headshots at the Magnet & Pathways Conference at the Georgia World Congress Center, headshots at the Visa x Cash App brand activation, and team group photos for Mercedes-Benz.
What you'll need to provide
We bring the studio: lights, backdrops, cameras and crew. You bring a few basics.
•A space. A conference room, an empty corner of an expo hall or a wide hallway usually works.
•Power. Access to standard wall outlets near the setup.
•A point of contact on the day who can wave people in and keep the schedule moving.
•A headcount and schedule. For office sessions, a sign-up list. For event headshots, the session times so we can staff the busy breaks.
•Venue paperwork, if needed. Many Atlanta venues ask vendors for a certificate of insurance. Let us know early.
Frequently asked questions
•What is a headshot booth?
A headshot booth, also called a headshot station or headshot pop-up, is a portable professional studio set up on location. People step in one at a time for a directed portrait, then return to their day.
•How much do on-location team headshots cost?
Headshot booths start from $1,000, with most full-day booths landing between $2,500 and $8,000. Service bundle discounts are available. Every quote is custom to team size and location. Individual studio sessions start at $325. See our corporate rates.
•How many people can one headshot booth photograph?
One event station photographs 30 to 50 attendees per hour, about 60 to 90 seconds per person in front of the lens, and up to 350+ attendees in a single 8-hour conference day.
•Can people see their photos on site?
Yes. We shoot tethered to an on-set display, so each person sees their portraits in real time and approves their preferred look before walking away, which prevents retakes.
•Do we have to send everyone their photos?
No. We can deliver galleries directly to each attendee, so the client doesn't have to manage and deliver each person's photos.
•Will everyone's headshots match?
Yes. That's the point. Everyone is photographed with the same light, backdrop and framing, so your company headshots look like one set.
•How long does each person take?
At event stations, about 60 to 90 seconds in front of the lens.
•When do we get the photos?
Galleries are regularly delivered in 3 to 5 business days. Expedited delivery is available if you have a launch or deadline.
•Do you travel outside Atlanta?
Yes. We regularly run headshot booths across Metro Atlanta, Georgia and the Southeast.
